Apprentice role

The existing vocational training contracts are entered in the apprentice role.

The apprentice role is the central directory of vocational training relationships and serves to regulate, monitor, promote and prove vocational training in recognised training occupations, in particular to monitor the technical and material quality of vocational education and training.

Each training company must conclude a vocational training contract with its apprentices (apprentices) and submit it to the respective Chamber of Crafts (HWK) or Chamber of Industry and Commerce (IHK) for examination and registration in the apprentice role. The HWKs and IHKs are obliged to lead the apprentice role.

The stored data may only be transmitted to public and non-public bodies if this is necessary for the above-mentioned purposes. If data is transmitted to non-public bodies, the data subject must be notified. The data protection laws of the federal states apply to the modification and blocking of the data in the apprentice role.

The entries must be deleted from the apprentice role at the end of the calendar year in which the vocational training relationship is terminated. The deleted data must be stored in a separate file for as long as and to the extent necessary for proof of vocational training, but no more than 60 years.

In order to improve the provision of training and to improve the determination of supply and demand on the training market, the Chamber may transmit the following data from the role of apprentice to the Federal Employment Agency:

  • surname, maiden name, first name, date of birth and address of the apprentice (trainee),
  • the name and address of the training centre,
  • Apprenticeship as well as
  • Date of commencement of vocational training.


Every trainee must apply for registration in the role of apprentice immediately after conclusion of the vocational training contract. A copy of the minutes of the contract shall be attached. The same applies to significant changes to the content of the contract.
